Collaborate More Easily with 2 Simple Ways to Share Files

You probably think of sending files via email when you hear about sharing data on a computer. In fact, file sharing doesn’t have to involve that step. There are easier ways to share files between computers without having to open an email website first.

Cloudmatika will share a tutorial on how to share data between computers. This tutorial is similar to sending files on a smartphone via Bluetooth. This method also doesn’t require a flash drive or other external storage devices, so you can stay seated and focus on finishing your work.

What are the steps? Just check out the discussion in this article.

How to Share Files Easily?

There’s one thing to keep in mind before following the file-sharing steps below. This tutorial only applies to two computers on the same local area network (LAN). Sharing data between computers outside a LAN is more complicated, and the network must be secured to protect against cyberattacks.

So, first make sure you and your colleague are on the same Wi-Fi network. After that, follow the steps below to share data between computers.

1. Configure Network Sharing

Start by setting up “Network Sharing” through the “Control Panel.” Follow the guide below:

  • Open or type “Control Panel” in the “Start” menu.
  • Select “Network and Sharing Center.”
  • Click “Change advanced sharing settings” on the left side.
  • Locate the profile currently in use. Select one of the two available profiles: “Home or Work” and “Public.” Identify it by looking for the profile labeled “Current Profile.”
  • Select the settings category you wish to use:
    • “Network Discovery”: Your computer will automatically search for your colleagues’ devices as long as they are on the same network.
    • ‘File and Printer Sharing’: Enable this setting so you can share data between computers.
    • ‘Public Folder Settings’: Share data via the ‘Public’ folder on your computer with other computers as long as they’re on the same LAN.
    • ‘Media Streaming’: Access multimedia files (images, videos, music) using Windows Media Player.
    • ‘File Sharing Connection’: Encrypt the connection on the active network.
    • ‘Password-Protected Sharing’: Other users who want to access files must have a username and password created on your computer.
    • ‘Homegroup Connection’: Every computer in the ‘Homegroup’ shares the same password.

2. Share Files

Once all ‘Network Sharing’ settings are configured, share the necessary files or folders. How do you do this?

  • Select the folder you want to share.
  • Right-click, then select ‘Share with’ > ‘Specific people’.
  • Add the user ‘Everyone’, then click ‘Add’. Next, click ‘Share’ after ‘Everyone’ has been added.
  • A pop-up will appear stating ‘Your Folder is Shared’. Click ‘Done’.

3. Check the Network Connection

This step is performed to verify that your computer can share data with other computers. To do this, open ‘Windows Explorer’, then type the IP address of the computer whose files you want to access into the address bar.

How do you find your colleague’s computer IP address? To do this, open the ‘Network and Sharing Center’ menu, then click ‘Properties’. For example, if your colleague’s computer IP address is 192.168.40.34, type “192.168.40.34” into the Windows Explorer address bar.

There’s also another way to access your colleague’s files: use the ‘Network’ menu in the lower-left corner of Windows Explorer. Click your colleague’s computer name as soon as you find it.

A More Efficient Way to Share Files: Cloudmatika FileBox

The file-sharing tutorial above seems quite complicated to follow. Moreover, its use is limited to the LAN only, so employees working outside the office cannot share files. Therefore, you’re better off switching to Cloudmatika FileBox for a more practical solution. Not only computers, but smartphone and tablet users can also access data in this cloud storage.

Sharing data with FileBox is actually much easier. Once you’ve downloaded the software, you simply need to add a domain that matches your company’s identity. Next, follow the steps below:

1. Move Data to FileBox

Start by installing FileBox on your desktop first so you can easily transfer your data. Follow the instructions below for a clearer understanding.

  • Make sure FileBox is installed on your computer. You can check this via “File Explorer,” then look for the drive that has been added. Generally, FileBox is installed on drive (U:).
  • Next, move or copy the data you want to share to the FileBox drive. The process is the same as moving files on internal storage—just press “Ctrl + C” and “Ctrl + V.”
  • The file is now ready to be accessed at any time—just click on it in FileBox.

2. Sharing Files via FileBox Desktop

Files already in a folder can now be shared with colleagues. This time, you’ll share documents directly from your desktop. Here’s how:

  • Open FileBox, then select the file you want to share.
  • Right-click, then select “RushFiles.”
  • There are two options to choose from:
    • “Create link in clipboard”: the sharing link will be automatically copied to the clipboard, then shared with colleagues by pasting it.
    • “Send link via email”: the sharing link will be sent via email to your colleagues.

3. Sharing Files with a Public Link

You can also create a link to the file if you prefer a more practical method with more specific restrictions. Don’t worry—this link is very secure, and you can set a password to ensure it cannot be accessed by unauthorized individuals.

However, this method is done through a web browser, so you’ll need to log in to FileBox first. Once logged in, follow the steps below:

  • Select the file or folder you want to share.
  • Click the “Create Public Link” icon with the chain symbol.
  • A dialog box will appear. Simply configure the settings as needed, particularly “Link type,” “Restrict number of downloads,” and “expires in.”
  • Enter a password. This step is optional, so you can skip it.
  • Click ‘Save’, then copy the link from the field.
  • You can still access the link via the links menu if you forget it or didn’t have time to copy it.

There’s one more advantage of FileBox Cloudmatika: its ransomware solution. Data stored in the cloud remains secure and free from malware, viruses, and other harmful attacks.
